Client intake forms for firms

Client intake replaces the email-and-attachments routine at the start of every trademark matter with a single link.

Available on the Practice plan and above, under TM Applications in the main navigation.

The shared form

Your account has one intake form with its own public link. Clients open it without a Demarka account, and it carries your firm’s branding if your plan includes white-label.

Two ways to distribute it:

  • Copy link — put it on your site, in your engagement letter, in your email signature.
  • Share via email — enter one or more client addresses, add an optional message, and Demarka sends the invitation for you.

What the client fills in

A five-step form: the mark and its type (word, logo, sound, video or a file), who will own it, what it will be used for, which countries, and a review step before they submit.

Clients who do not know their NICE classes can simply describe their business and leave the classes to you — which is usually the better outcome anyway.

The public form is protected against automated submissions.

Tracking submissions

Every submission lands in a table showing when it was received, its reference, the applicant, the mark, the countries and its status.

Manage opens a submission and lets you set:

  • Status — Submitted, In review, Filed, Registered or Rejected
  • Internal notes — visible only to your team

You are notified in-app when a new submission arrives.

Why it is worth using

  • One canonical intake. Every matter starts with the same complete set of facts, in the same place.
  • Fewer round trips. The form asks for the legal owner name, the address and the specification up front — the three things that otherwise take three emails.
  • A pipeline view. The status column is a simple case list your whole team can see.
  • It joins up with clearance. A submission gives you the mark, classes and countries you need to run an assessment before advising the client on whether to file.
